Before an architect designs a building, they create a blueprint. Before we, as writers, craft a powerful piece, creating some form of an outline is a game-changer. It might seem like an extra step, but the time invested in structuring your thoughts upfront pays off tenfold.
An outline forces you to clarify your main message, identify key supporting points, organize ideas logically, and ensure completeness. This isn't about rigid, old-school Roman numeral outlines if that's not your style! It can be a mind map, a list on a whiteboard, or sticky notes. The method matters less than the act of planning.
And here's where modern tools can really help make this process more efficient. AI can be an incredible co-pilot in the outlining phase. You can feed it your raw ideas, your core message, and your target audience, and ask it to generate a potential structure or a few different outline options. Itβs like having a brainstorming partner that can instantly show you different ways to organize your thoughts.
Use AI as a sounding board. You can even have some AI tools read your draft back to you; hearing it can instantly highlight awkward phrasing or where the flow breaks downβit's a great way to hear how others might 'read' it.
But hereβs the crucial part I always emphasize: finding that balance of keeping your voice and using technology to make your work stronger is the key. It's not about having AI do it for you; it's about having AI work with you to make your process more efficient. AI can give you a fantastic starting point for structure, but you need to refine it, own it, and make sure it aligns with the unique flow and feel you want to create.

So, about that 'jigsaw puzzle' moment I mentioned...
I was deep in developing a comprehensive brand strategy for a client. We had all this amazing research, fantastic core messaging ideas, really powerful stuff. Iβd written pages and pages, and honestly, I thought the individual parts were pretty good. But when I first walked the core team through it, I saw that familiar look β a few nods, but mostly slightly furrowed brows. You know, the 'I think I get it, but Iβm not quite sure how it all fits together' look. The energy in the room wasn't quite there.
It wasn't that the words were wrong, or the ideas weren't valuable. It was the flow, the architecture of how I was presenting it.
So, I didn't just tweak words. I stepped back and asked myself, 'How do I want this to feel for them? How can I make this journey of understanding effortless and even exciting?' I pulled out a whiteboard and started mapping out the core 'beats' of the strategy. I ended up re-ordering whole sections, creating much clearer 'signpost' headlines, and using simple bullet points for complex data.
When I presented the restructured version, the difference was incredible. Same core ideas, mostly the same words, but this time, there were actual 'ahas!' in the room. People were nodding, asking smart follow-up questions that showed they got it.
That was a huge 'blueprint moment' for me. It drove home that structure isn't some boring, academic exercise. Itβs about empathy for your reader. Itβs about making sure your brilliant ideas don't just exist, but that they connect and make perfect, intuitive sense. When you read your own work out loud, does it flow in a way that makes sense to you? Is it clear and making the point you want? That's the gut check for good structure.
